The Difference between a Wedding Planner and a Wedding Coordinator

Full-scale wedding planners often specialize in more of large-scale planning before the day such as managing your budget, selecting your venue, and attending vendor meetings. Day-of Wedding Coordination allows you the freedom to take charge of the creative wedding process, while letting us execute your details on the actual day, so you can relax and focus on getting married. You have a vision and want to make the wedding your own, and can handle certain things yourself, but need a professional in the industry to help guide you through the process without the full-service price tag.

The Difference between an onsite Venue Coordinator and Wedding Coordinator.

At Wholehearted Events, a Wedding Coordinator works wholeheartedly for YOU. An onsite Event Coordinator works for the venue. While they may be an expert in their venue and the services they are offering, they are not an expert in your wedding vision or wishes. They’re focused on managing their own staff and making sure the basic venue facilities are available and ready for you to use. They most likely have many clients and events they are juggling simultaneously, especially if they have multiple spaces onsite. They may pay mind to your timeline in regard to when their own staff needs to get in action, but they aren’t in charge of communicating to your other vendors such as a photographer or DJ in regard to times and key moments to prepare for. Not only do we fill those gaps, we finalize the details and design, we coordinate the day’s entire flow and we actually execute your vision. We not only manage vendors and set out personal touches, but we make sure the entire production of your wedding runs according to the perfect plan we create together.

Initial Consultation

Your complimentary consultation over coffee (or wine!) gives us the opportunity to get to know each other a little more and see if we’d make a great team! Let us know where you are in the planning process and what you’re looking for. In turn, we’ll show you how we can help you harmonize everything and fill in those missing pieces.

Most importantly, we want to ensure we give you everything you need to feel comfortable entrusting us with your big day.

We’re a team!

Once we’re official, we’ll meet to discuss your questions on the planning process as well as offer direction on vendors, and give advice on layouts, design, set up and more! This is our chance to make sure everything is and continues to go on track.

We have been to a lot of weddings and keep up on educating ourselves in the latest styles and trends. Because of this, we know a lot about weddings. From here out, we will be your sounding board. Whatever you need advice or an opinion on, we will provide.

1 - 2 Months out…

We will send you a questionnaire and complete your wedding timeline. We will also meet again to discuss the wedding details and all vendors and their services.

Once all your vendors are confirmed, we will reach out to each and confirm services and times. This is also a great checkpoint to keep everything on track!

When we are 1 month out, you will have unlimited contact and we will officially iron everything out. We will ensure details and tasks are taken care of that you may not have even realized!

The week before…

This is when things really start to get moving! We’ll meet at least once more to finalize all the last details and make sure everything is in place. Together we will check our lists and ensure not a single detail is missed! During the rehearsal, we’ll walk you through the big day one last time and then finally its game time!

Celebrate!

That’s it! The day of your wedding, you just focus on marrying your special person and basking in the fruits of all your hard planning! We will take care of the rest.
